How to set up a proposed tenancy and request RentPassports®

This article will help you create a property, set up a proposed tenancy and request referencing.

Canopy offers you the flexibility within our HQ system to work in a way that suits you.

Our recommendation, however, is to assign your RentPassports to a property by creating a proposed tenancy.

Using the ‘Start Referencing’ button on the Canopy HQ homepage will allow you to set up your property record, create a proposed tenancy and request your RentPassports all in one flow.

STEP 1: Click ‘Start Referencing’

STEP 2 - Property Details

Clicking on this button will open a pop-up, select the relevant branch from the drop-down list and search for the property address.

Should you need to edit the property details you can do so at this stage. If you have not previously requested referencing for this property the system will automatically create the property record for you at this stage. If the property already exists on your system, you will automatically skip to step 3.

Continue entering the required details such as the target rent for the property and the frequency of the rental payments. You can also enter an internal reference code at this stage should you wish to. If you do not have reference codes for properties you can leave this blank.

Once you have entered the information click ‘create property’. This how now created the property record and your screen will look like the below.

STEP 3 - Tenancy Details

You will now be asked for some details relating to the proposed tenancy moving into the property.

Enter the target move-in date, an internal tenancy code should you use one and confirm the rental amount and payment frequency agreed with the proposed tenants.

Once you have entered this information, click ‘Create’ to save the property record and proposed tenancy.

STEP 4: Requesting your RentPassports®

You have now created a property record and proposed tenancy that will be moving into that property. The last step is to request the RentPassports required for the tenancy.

Click ‘Add Renters’. If you have already referenced someone and wish to add them to the tenancy enter their email address in the search box and select them from the list. If you need to request a new RentPassport from an applicant click ‘Invite a new renter’

Clicking ‘Invite a new renter’ will open up our request screen where you simply enter the applicant’s details on the left-hand side and select what type of RentPassport you need on the right-hand side.

Click ‘Send Request’ at the bottom of the pop-up to send the reference request to the applicant.

If there are further applicants you need to add to the proposed tenancy, if you are referencing a couple for example, click ‘invite a new renter’ again and repeat that process.

If you have now finished sending your reference requests click ‘Done’.

You will now be able to see your reference request against the relevant property address and as the applicant completes their RentPassport their referencing information will build up on this tenancy page.
